How To Archive Emails In Outlook

Outlook is a popular email client, designed by Microsoft as part of their Office suite of applications. It has many features that make it much more than just a regular email client. With provisions to set up appointments, tasks, notes, calendar entries, etc, Outlook is also a powerful personal management tool.

Another great feature within Outlook setting is the ability to archive old emails, as well as project-oriented email files. This process helps remove old emails and keeps only relevant emails, calendars and contacts in your view. It is helpful, as it reduces the clutter in your Outlook account.

The archiving process can be set to commence on a periodic basis, so that you don’t have to archive manually every time. Specify a particular date range and Outlook will move all the files, emails and other data older than this, to the archive folder. You can access this folder anytime afterwards.

Instructions to archive Outlook contents
  • Launch the MS Outlook 2007 application and choose the personal information folder that you wish to send to the archives. You can find the personal information folder in the Navigation Pane. You will notice that there is a plus sign towards the left side of the folder. Clicking on this plus sign will open up all the contents of the folder in a list below the folder. Clicking it will hide all your emails, tasks, calendars and contacts.
  • Now choose File, followed by Archive. The Archive dialog box will appear on screen. Now click on the option labeled Archive this folder, and all subfolders. Now select a date in the Archive items option in the folder older than. This option will remove all the emails older than the date you specified.
  • Now choose a location on your system to save these Archived files. Browse and find a convenient location for the Archive folder. Select an appropriate name for this folder, so that you can recognize it quickly. Click OK.
  • You can check the status of the archiving process by checking in the lower right-hand corner from your Outlook window. A message will appear displaying he archive process. Once the archiving process is completed this message will disappear.
Outlook allows you to customize and personalize folders by making appropriate changes in Outlook setting. If you find any issues with the process just check up on the Outlook help menu for solutions.
